Candidate privacy collection notice

At Quantium, we forge a better, more intelligent world. We aim to deliver a great candidate experience and make it easier and quicker for you to apply for opportunities with us.
Part of the Quantium recruitment process involves collecting information about you. We respect your privacy and it is important that we share with you how we collect and use your personal information.
This Notice applies to The Quantium Group Holdings Pty Limited and its subsidiaries, and Quantium Health Holdings Pty Ltd and its subsidiaries throughout the world, collectively referred to as “Quantium” throughout this Notice.
1. Information we collect
We collect personal information about you that is relevant to your application for employment and, if successful, your ongoing work with us. This includes your name, date of birth, contact details, work history, qualifications, licences/certifications, right to work details and where relevant, results of screening, aptitude or psychometric tests, referee reports and candidate experience surveys. We may also collect sensitive information about you such as health information, disability status (with your consent to support inclusive recruitment) and criminal history, where relevant to your application, as well as other demographic information you choose to tell us.
If you are successful in a role with Quantium, this information will remain on your employee profile and we will collect additional information from you to support your employment with us, such as banking and tax information.
We will usually collect your personal information from you directly but will also collect information about you from third parties where relevant, such as recruitment agencies, your referees and service providers who conduct screening services or background checks including your eligibility to work in the Quantium location in which you applied for, and your criminal history, where relevant.
Our aim is to only collect personal information about you that is relevant to your application for employment, and if successful, your ongoing employment with Quantium. If you choose not to provide your information to us, this may affect our ability to process your application.
By progressing with your application, you acknowledge and understand that Quantium will collect, use and share your personal information as set out in this Notice, including to consider you for other suitable opportunities at Quantium that may match your skills and experience, in accordance with Quantium’s Privacy Policy, available at https://quantium.com/privacy/.
2. How we use and share your information
Your personal information will be used for:
- Recruitment purposes when you apply for a role
- Informing you of future opportunities that may be of interest to you
- Employment purposes should you be successful for a role
- Providing an inclusive recruitment experience and understanding the diversity of our team in support of our group commitment to inclusion and belonging
By submitting an application to Quantium, we may disclose your application on a confidential basis to our related companies, and joint venture companies, including our majority shareholder, Woolworths Group Limited. We will only make such disclosures for the purpose of considering your application and opportunities in those organisations. If you are successful in obtaining a role with one of Quantium’s related companies or joint venture companies, then you will need to refer to that entity’s Privacy Policy to understand how they will handle your personal information.
We use recruitment platform providers and other trusted service providers to manage and process your application. This may include providers who assist with criminal history checks, interview screening, psychometric or aptitude testing, referee checks and right to work checks. Quantium will share your personal information with these third parties only for the purposes of processing your application.
For graduate-level roles only, Quantium may use third party providers to assist with the recruitment process. If you have applied for a graduate-level role with Quantium, you may be contacted directly by the relevant provider for the purpose of undertaking the recruitment process.
3. How we use technology in our recruitment process
We may use artificial intelligence (AI) and transcription or meeting intelligence tools to assist in our recruitment, hiring and onboarding processes. These tools are used to support our hiring team and all final recruitment decisions are made by our team following meaningful review of any AI-generated insights. Some AI features may involve your data being processed by third-party AI providers. Your data is kept secure, is not shared beyond what is necessary to provide these services, and is not used to train AI models.

4. How long we retain your personal information
Once you have established a candidate profile with Quantium, you will be able to apply for various roles without having to create a new profile each time. If you wish to delete your profile, you may do so at any time by emailing recruitment@quantium.com.au and requesting that your profile be deleted. Your profile will then be scheduled for deletion. Any active job applications you have relating to your candidate profile will also be terminated by taking this action.
If your application for employment is successful and you commence employment with Quantium, Quantium will retain your personal information for the purposes of your employment with us. We will retain your personal information during your employment and for seven years following the end of your employment for legal, compliance and business record-keeping purposes.
If your application for employment is not successful, we will retain your personal information for a period of five years from the date of your last application, or for such longer period as may be required by law. We may also consider your details for other suitable opportunities at
Quantium that may match your skills and experience. If you would prefer not to be considered for future roles, or would like your profile deleted, please email recruitment@quantium.com.au at any time. Your profile will then be scheduled for deletion and any active job applications relating to your profile will also be terminated.
5. How we disclose your personal information overseas
Quantium may transfer your personal information to countries outside the country/region in which you applied, for example, when we or one of our service providers uses employees or equipment in other countries. We maintain physical, electronic and operational safeguards to protect the confidentiality of your personal information, including security measures to protect against unlawful or unauthorised processing of personal information, and against the accidental loss of or damage to your personal information. Where we share personal information overseas, we take steps to ensure that our service providers are obliged to protect this personal information in accordance with all relevant legal requirements and that they are only permitted to use personal information for the purpose for which it is shared.
6. How you can access or correct your information
You may access or correct personal information you have provided to us at any time through our recruitment platform or by contacting us directly. You also have the right to request your personal information in a portable format and, where we have relied on your consent, to withdraw that consent.
Depending on your location, you may have additional rights under local privacy laws, including the right to object to certain processing, request processing restrictions, or lodge complaints with data protection authorities. Please see the Appendix at the end of this Notice for jurisdiction-specific information applicable to candidates based in the United Kingdom, South Africa, India and the United States.

Appendix: Jurisdiction-Specific Information
The following additional information applies to candidates based in the relevant jurisdictions set out below, and supplements the main notice above.
United Kingdom
Lawful basis for processing: Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing your personal information are:
- To perform a contract or to take steps at your request, before entering a contract.
- To comply with our legal obligations.
- For the purpose of our legitimate interests.
The lawful basis we rely on to process any information you provide as part of your application which is special category data are:
- Consent. You are able to remove your consent at any time. You can do this by contracting privacy@quantium.com.au.
- Where applicable, to comply with employment law obligations.
Where we process special category data and information about applicant criminal convictions and offences, the additional Data Protection Act 2018 processing condition we rely on is Schedule 1 part 1(1) which relates to processing for employment purposes.
International transfers: Where your personal information is transferred outside the UK, appropriate safeguards are in place in accordance with UK GDPR.
Your rights: Under data protection law, you have rights including:
- Right to access. You may request access to your personal information held by us by contacting our Privacy Officer. To the extent any such information is held, we will provide you with such access, subject to relevant applicable laws.
- Right to rectification. You may request that we correct any inaccurate personal information we hold about you. We try to ensure that the personal information we hold is accurate, up to date and complete. This includes maintaining and updating our records when we are advised by you of a change to your personal information.
- Right to erasure. In some circumstances, you have the right to request that we erase the personal information we hold about you.
- Right to restrict processing. In some circumstances, you have the right to require us to restrict processing of your personal information.
- Right to object. You have the right to object to any direct marketing or to other processing of your personal information.
- Right to withdraw consent. You have the right to withdraw consent to us processing your personal information, please note however, such withdrawal will apply to future processing and does not apply to processing of your information that has already occurred based on your prior consent.
- Right not to be subject to decisions based on automated processing. In some circumstances, you have the right not to be subject to decisions based solely on automated processing, and to obtain human review of any such decisions that significantly affect you.
- Right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

South Africa
Lawful basis: Under the Protection of Personal Information Act 2013 (POPIA), we process your personal information on the basis that it is necessary for our legitimate interests in recruitment, to comply with a legal obligation, or with your consent where required.
Special information: We process special personal information (including health data) only with your consent or where otherwise permitted under POPIA.
International transfers: Where your information is transferred outside South Africa, we ensure that the recipient country or organisation provides an adequate level of protection consistent with POPIA, including through contractual safeguards.
Your rights: You have the right to access, correct and delete personal information we hold about you, and to object to processing in certain circumstances. To exercise these rights, contact privacy@quantium.com.au.
Complaints: You may lodge a complaint with the Information Regulator of South Africa: www.inforegulator.org.za | inforeg@justice.gov.za.
India
Lawful basis: Under the Digital Personal Data Protection Act 2023 (DPDPA), we process your personal information on the basis of your consent, or as a legitimate use permitted under the DPDPA for recruitment and employment purposes.
International transfers: Where your personal information is transferred outside India, we take steps to ensure appropriate protections are in place consistent with the requirements of the DPDPA.
Your rights: You have the right to access information about your personal information that we hold, to correct or erase inaccurate or incomplete data, and to raise a grievance with our Privacy Officer. Unresolved complaints may be referred to the Data Protection Board of India once it is fully operational.

Note: Implementing regulations under the DPDPA are still being finalised by the Indian government. This section reflects the Act as currently in force and will be updated as further guidance is issued by the Data Protection Board of India.
United States
Federal baseline: Quantium processes your personal information in accordance with applicable US federal law, including maintaining reasonable security measures to protect your data.\
California (CCPA/CPRA)
The following applies if you are a California resident applying for a role with Quantium under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA).
Categories of personal information collected: As set out in section 1 of this Notice.
Purposes of collection: As set out in section 2 of this Notice.
Sale or sharing: Quantium does not sell or share your personal information for cross-context behavioural advertising purposes.
Your rights under CCPA/CPRA:
- Right to know what personal information we collect, use, disclose and share.
- Right to delete personal information we hold about you, subject to exceptions.
- Right to correct inaccurate personal information.
- Right to limit use and disclosure of sensitive personal information.
- Right to opt out of sale or sharing (not applicable — we do not sell or share).
- Right to non-discrimination for exercising your privacy rights.
